Instructions for Faculty at BTOG 2020
Chairs
Chairs are asked to keep speakers to their allotted time to ensure that sessions run to time. A traffic light system is in place in the main plenary room (Herbert & Pembroke Room) to assist with time keeping. The AV team will control the traffic light system as per the allocated speaker presentation time and allowed discussion time. For sessions on Wednesday in the Fitzwilliam on the Ground floor please use the timecards in the meeting room to manage presentation time and discussion time. BTOG will ensure that sessions start on time - delegates will be called into sessions in plenty of time to take their seats.
Submit A Question on the Conference App
We will also have a Submit A Question option in the conference app that allows the audience to ask the speaker a question during discussion time. Any questions will be viewed by the Chair/s on an iPad and the Chair/s will be able to remove any questions that are not relevant and put the questions to the speaker (subject to time availability). This option will be in addition to the usual fixed microphones in the meeting rooms.
Speakers
Please prepare PowerPoint (PPT) slides accordingly for your presentation time and ensure that your presentation time does not over-run - chairs will strictly keep sessions to time. Please format your slides with a 16:9 ratio for projection onto the screen/s. You can use a presentation template of your choice. Please refer to the programme for allowed presentation time and discussion time for your allocated session. BTOG will ensure that sessions start and finish on time and therefore you will have the total minutes as per the programme.
In the Pembroke and Herbert Rooms, a traffic light system will be in use that will be set for your presentation time by the AV team, the traffic lights will warn you with an Amber light to sum up (last 2 minutes of your presentation). For sessions on Wednesday in the Fitzwilliam on Ground floor the chairs will use time cards.
Delivery of your Presentation on Memory Stick
We kindly ask all speakers to deliver their presentation at least 4 hours in advance of the scheduled presentation time. The Speaker desk will be located beside the registration desk at BTOG 2020 and an AV technician will be available to assist you. If you wish to play a video file or have one already embedded into your PPT presentation, please make sure that the ‘video file’ is also supplied on the memory stick (separate to the presentation).
Live Polling
BTOG 2020 has the option to use live polling feature which allows speakers to ask the audience a question to answer within the BTOG 2020 conference app and for the results to be shown on screen in real time. This is a multiple-choice question with all options shown in app via the live polling module. Please note only one live polling session can happen at one time (where parallel sessions are taking place).
For the live polling we would require the questions and answers for the poll 1 week in advance by latest 22nd January 2020 to Louise Gibson, BTOG 2020 Registration Team – btog@venuesworld.com – please confirm your presentation day/time and title.
If you need anything further please email dawn.mckinley@btog.org
